- Before you start
- Preparing your Intacct account
- Creating a Routable Web Services user
- Connecting Routable to Intacct
Before you start
The setup process should only take about 15 minutes for most accounts, however, it can take longer depending on the amount of data in your account.
⭐️ Before you start, plan how your Sage Intacct company will sync with Routable
It’s important to understand how your Sage Intacct account will sync with Routable. Please make sure to discuss this integration with your implementation manager to determine which setup is best for you.
Before you get started, please note the following requirements for both your Routable and Sage Intacct accounts:
-
Administrator access to a Routable account
-
Full Admin access to your Sage Intacct company, with user role permissions
We recommend keeping your Routable account and your Intacct company open in separate browser tabs at the same time while you complete this process.
Plan how you want to connect
There are a number of ways Routable can sync with your Intacct company. Discuss the following sync configurations with your implementation manager before you begin you Intacct sync setup.
Bills and bill payments
Decide where you want your bills and bill payments to sync in your Intacct company.
- Top level: Syncing bills and bill payments at the top level means that all bills and bill payments will sync to the top level of your Intacct company
- Entity level: Syncing bills and bill payments at the entity level means that all bills and bill payments will sync to the configured entity of your Intacct company. When coding bills, you will be limited to setting the location to the configured entity or its associated locations.
Vendors and customers
Decide where you want your vendors and customers to sync in your Intacct company.
- Top level (recommended): Syncing vendors and customers at the top level means that all vendors and customers will sync to the top level of your Intacct company. This easily allows vendors and customers to be shared across your Intacct company.
- Entity level: Syncing vendors and customers at the entity level means that all vendors and customers will sync to the configured entity of your Intacct company. Creating vendors and customers in a specific entity (rather than at the top level) restricts the vendor/customer for use in that entity and does not easily allow sharing the vendor/customer across entities.
Routable Balance general ledger (GL) and checking account
Decide where you want Routable to create your Routable Balance GL account in your Intacct company.
If you Intacct company requires specific fields to be populated when creating a GL account or a cash management checking account or if you want to set the account numbers yourself, you must create the GL and cash management checking accounts in your Intacct company before completing your initial sync.
To learn more about configuring Intacct Cash Management and GL accounts for use with the Routable Balance, see the Routable Help Center article Creating "Routable Balance Clearing" Cash Management and General Ledger accounts in your Sage Intacct company →
Preparing your Intacct account
Identify your company ID
Find the Company ID that is associated with your Sage Intacct account.
To find your Company ID in Intacct:
- Navigate to the Company Information page (Company > Setup > Configuration: Company)
- On the Company Information page, navigate to the General Information tab
- In the Company Information section, find the ID and take note of it. This is the Company ID that you will input in Routable when you connect to Intacct.
Identify your entity ID (if applicable)
Connecting at the entity level syncs your Routable bill and payment transactions to the connected Intacct entity.
If you decide to connect at the entity level, you will need to find the Entity ID for the entity that you want to sync to.
To find your Entity ID in Intacct:
- Navigate to the Entities setup page (Company > Setup > Configuration: Entities)
- On the Entities page, find the ID of the entity that you want to connect to Routable. This is the Entity ID that you will input in Routable when you connect to Intacct.
Creating a Routable Web Services user
Routable uses Intacct Web Services to connect and sync with your Intacct company.
Enable the Web Services Subscription
In order to use Intacct Web Services, you must enable the Web Services Subscription.
To enable the Web Services Subscription:
- Navigate to the Subscriptions page (Company > Admin > Subscriptions)
- Scroll down the Web Services subscription and enable the toggle
Create a Web Services authorization
Once your Web Services Subscription is active, you must create a Web Services authorization for Routable. The Web Services authorization for Routable grants Routable permission to access your Intacct company's Web Services API endpoints.
To create a Web Services authorization:
- Navigate to the Company Information page (Company > Setup > Configuration: Company)
- Click the Edit button on the top right of the page
- In the edit mode of the Company Information page, navigate to the Security tab
- Scroll down to the Web Services authorizations section and click the Add button
- Fill out the Web Services sending information form
-
Sender ID:
RoutableMPP
- Status: Active
-
Sender ID:
- Click Save
Create a Web Services user
Finally, you must create a Web Services user to authenticate the Routable to Intacct connection. Web Services users exchange information with Intacct via Web Services API calls—Web Services users are not allowed to log in to the Intacct UI.
To create a Web Services user:
- Navigate to the Web Services users page (Company > Admin > Web Services users)
- Click the Add button on the top right of the page (or the Create button if you are using the lists beta interface)
- On the User information tab, fill out the form
-
User ID:
Routable
-
Account email address
- This is the email address where Intacct will send the Web Services password that you will input in Routable when you connect to Intacct
- Status: Active
-
Contact name
- We recommend creating a new contact
- User type: Business
- Admin privileges: Full
- Role: Admin (or whatever Intacct role your company uses that has full access)
-
User ID:
- Navigate to the User entities tab and check the box next to Enable access to top level
- Click Save
After you save the Web Services user, look for an email from Intacct sent to the address in step 3. This will contain the password you will need when you connect Routable to Intacct. If you cannot find this email in your inbox, delete the Web Services user you just created and create a new Web Services user starting at step 1.
For more information about Intacct Web Services users, see the Intacct Help Center article: Web Services users ↗
Connecting Routable to Intacct
Finally, you will connect Routable to Intacct. Navigate to your Routable Integration Settings page (Account Settings > Integrations).
Next, log in to your Routable account and navigate to the Integration Settings page (Account Settings > Integrations). In the Sage Intacct section, click Connect your ledger. This brings up a page with 4 fields that will need to be filled out in order to connect the integration.
Fill out the Connect Routable to Sage Intacct form:
- Use the data your identified earlier in this article to fill out the form
- Company ID →
- User ID →
- Password →
-
Entity ID →
- If you want to connect at the top level, leave the Entity ID field blank
- Click Connect to Sage Intacct
Now, your initial integration sync will start. Please note that this sync may take longer depending on how much data you have in your Intacct account.
