With Routable, you can create payables many different ways. Each of these workflows is outlined below.
Note: a user's role must include the Create Payables permission in order to create payments.

Creating payables in Routable
Create a payable from the navigation menu
- Select New in the navigation menu
- Select Bill
- Enter the “Create payable” screen
- Attach a document (optional)
- Select to upload or drag the document into the document window
- Enter the bill details
Create a payable from the Inbox
- Add bills to your Inbox (Adding bills to my inbox)
- Click an Inbox bill to enter the “Create payable” screen
Entering payable details
Your creation interface
When creating or editing a payable or receivable, you can see attachments on the left, and bill or payment details on the right, with a collapsible drawer for line items at the bottom.
Draggable file-viewer and line-item drawers let you pull the screen to whatever size is wanted.
Ability to drag files into the left-side file viewer, and file viewer handles all attachment types, including CSV and XLS files
Vendor
- Choose the company or person you will pay
- Vendor search shows legal name when different than display name
- Contacts area shows who is receiving a payable or receivable notification.

AI OCR matches to vendors in Routable with matching logic comparing both vendor display and legal name, aiming to provide accurate and comprehensive matching results.

When a vendor invoice has multiple potential vendor name matches within
the Routable system, Routable will display "suggested vendors" for consideration.
If a suggested vendor is chosen, Routable will remember the vendor next time the OCR vendor name is the exactly the same.
Bill details
- Enter the bills details such as Invoice Number, Invoice Date, Due Date, posting period, and accounting dimensions
- Use OCR automatically extract this info from invoices (Using OCR to speed up payment creation)
Line items
- Enter the line item details for Expenses or Inventory Items depending on your accounting software configuration

Duplicate line items: You can quickly duplicate any line item on a bill, just copy an existing line and adjust the details as needed.

Line item summarization:
- Line items settings default to "Itemized", meaning each line will appear separately and match how it appears on the original invoice PDF. Line items can also be "Summarized", meaning invoice line a combined into 1 line item.
- You can easily toggle “Summarize line items” on or off directly from the bill form.
- Line item setting defaults are saved per vendor. Once you choose to summarize or itemize line items, that preference will be remembered for all future invoices from that vendor.
Payment details
- Enter your payment method or allow the vendor to choose a payment method
- Choose when to send the payment, or skip scheduling for now
- Customize message section lets you overwrite the generic message sent to the payable notification receiver
Approvals
- As you create Payables or Receivables, the total amount you enter might trigger your team's approval flow. When this happens, you will see an Approvals section appear below the Payment details section.
- If your account is set up to have different approval levels and/or multiple approvers, this section is where you will be able to select your approvers.

- Select New in the navigation menu

- Enter the "Create payable" screen
- Start typing the vendor name in the Vendor section
- Select the vendor whose bills you want to import
- Scroll down to the Bill details section
- Select the bills from your accounting software that you want to import and to create as payables in Routable
Create a payable by importing bills from multiple vendors
- Select New in the navigation menu
- Select Payment
- Enter the "Create payable" screen
- Select Pay bills from [your accounting software]
- Wait for the Select bills awaiting payment table to load
- Select the bills from your accounting software that you want to import and to create as payables in Routable
Note: You can select up to 50 bills to import at time
Filtering importable bills
You can filter your bills awaiting payment to a specific vendor or to multiple vendors by selecting the Filter button on the "Bills awaiting payment" table, configuring the filter criteria, and applying the filter. Currently, only an Invoice number (Intacct calls this a "Bill number") filter is available with several matching options:
- Exactly matches
- Contains
- Starts with
- Ends with
To search for multiple bills, you can input a comma-separated list into the search box.
Once your filter is configured, click Apply. The table will reload and return a list of all the matching bills.

- Select New in the navigation menu
- Select CSV Upload

Creating payables or sending payments
Once all the payable details have been entered, you can either “Create payable” or “Send payment for approval” depending on your approval rules, and the payable will then sync to your accounting software (if configured).
